Beams Vault Help Center

Straight answers about your account, billing, data, and policies. The Terms of Service and Privacy Notice are the binding text.

Account & Billing

Plans, cancelling, moving to Collector, refunds, and payment problems.

How do I cancel my subscription?
Open Settings and choose Manage billing, then cancel in the Stripe Customer Portal. No phone call is needed; if the portal is unavailable, email [email protected] and we will cancel for you.
What happens when I cancel?
Your paid plan stays active through the end of the period you already paid for, then your account moves to the free Collector plan. Your inventory, sales history, and unused AI Top-Up balance stay with you.
What happens if a payment is refunded, reversed, or disputed?
Paid access funded by that payment ends right away and the account moves to Collector. This includes image hosting.
What if my renewal payment fails?
Stripe may retry the payment and paid features may stay on while it does. If the payment is never completed, the subscription ends and your account moves to Collector.
Can my account be deleted for inactivity?
Only free Collector accounts can, and only after day 615 without a sign-in and several email notices. See Inactive accounts.
Can a paid account be deleted for inactivity?
No. Paid accounts are never deleted for inactivity.

Inventory & Backups

What Vault keeps, what you should keep, and how to download your records.

Is Beams Vault my backup?
No. Beams Vault is not a backup service, so keep your own copies of important photos, inventory, sales, and tax records.
Should I keep my own records?
Yes. We work to protect your data, but we cannot promise it will never be lost, corrupted, or unavailable.
Can Collector download a copy of my inventory?
Yes. Every plan, including Collector, can download an inventory PDF and, when you have recorded sales, a sales report PDF from Reports.
What is the difference between the PDF and a paid export?
The PDFs are for people to read. Machine-importable exports, such as CSV and marketplace files you can load into another system, are part of paid plans.
Does Beams Vault guarantee my data will never be lost?
No. The Service is provided as is, which is why we provide downloads and recommend keeping your own copies.
Are Beams Vault reports my official accounting or tax records?
No. Reports help you run your business, but they do not replace the books and records the law requires you to keep.

Vault AI & Credits

What Vault AI does, what a credit is, allowances, and AI Top-Ups.

What is a Vault AI credit?
A credit pays for one intelligent service request, such as identifying an item from photos or preparing listing details. The app shows the cost before you start.
Does every credit mean generative AI ran?
Not always. A request can use a credit even when Vault answers it from information it already has or with non-generative processing, because the credit pays for the service. Reusing results you already have, entering items manually, and eBay-native features use no credits.
Do credits expire?
Monthly plan allowances reset at the start of each calendar month (UTC) and do not roll over. AI Top-Up balances have no expiration date while your account exists, but they are forfeited if the account is deleted.
Can I get a refund for unused credits?
No. AI Top-Up purchases (100 credits and 50 Market Checks per pack) are final and unused balances are non-refundable.
What happens to my AI Top-Up balance if I move to Collector?
It stays with your account. You keep your remaining top-up balance after a downgrade.
What happens to my AI Top-Up balance if I delete my account?
It is forfeited without refund when the account is deleted.
What happens to my AI Top-Up balance if my account is deleted for inactivity?
It is forfeited. A top-up balance does not keep an inactive free Collector account from being deleted; signing in does.
Is Vault AI always accurate?
No. Vault AI can be wrong or incomplete, so review every result before you rely on it, list an item, or set a price.
Does Vault AI authenticate, grade, or appraise items?
No. Vault AI output is not authentication, grading, appraisal, or legal, tax, or financial advice.

Intelligent Vault Drop — Best Practices

For best results, photograph one item at a time and keep its photos together. Include front, back, and identifying details before moving to the next item. Vault AI will propose groups, but similar-looking items and mixed photo collections can be difficult to distinguish. Review your groups and drag photos into the correct items before continuing.

1. Photograph one physical item completely before moving to the next.
Finish every photo of an item before you start the next one. Take the front, back, sides, labels, and close-ups together, because photos taken together are the strongest clue Vault AI has for keeping an item whole.
2. Preserve your original photo order when practical.
Filenames and capture order are clues, not proof that two photos show the same item. Dropping photos in the order you took them helps Vault AI, while renaming, shuffling, or mixing in older photos makes the groups harder to see.
3. Make the item you are selling the main subject.
Center the item and fill the frame with it. You do not need a professional background, but other items in the shot can make it unclear which one the photo is about.
4. Capture the details that tell items apart.
Photograph dates, mintmarks, serial numbers, hallmarks, labels, tags, certification numbers, damage, and wear. Those details separate near-identical items and give Vault AI more to read.
5. Mixed collections are supported, but they can be ambiguous.
You can drop a mixed collection and Vault AI will do its best, but look-alikes are hard. If you photograph 20 similar quarters, front and back, one quarter's front can look almost the same as another's, and a back is difficult to match to its front. When Vault AI is not sure, it keeps photos apart instead of risking a wrong merge, so expect to combine a few groups yourself.
6. Review, drag and drop, and approve your groups before processing.
Vault AI proposes the groups and you decide. Drag any photo into the right item, start a new item, or move a photo to Unassigned, then approve the groups to continue. Items are identified only after you approve.

Vault AI does the work. You make the decisions.

Photos & Image Hosting

What happens to your photos when you cancel, resubscribe, or delete your account.

What happens to my photos if I cancel?
Hosting continues through the end of the period you paid for, then Vault stops displaying your hosted photos. Your files are kept, not deleted.
Does moving to Collector delete my photos?
No. Moving to Collector stops hosting but does not delete your files. Only account deletion deletes them.
Why do I see a red image instead of my photo?
The red “image hosting inactive” placeholder means your account no longer includes image hosting. Your photo is still stored.
What happens if I subscribe again?
Your photos come back automatically. Seller, Vault Pro, or the Cloud Image Hosting add-on restores them.
Do I need to re-upload my photos?
No. Resubscribing restores the photos already stored for your account.
What happens to my photos if I delete my account?
They are deleted as part of account deletion, which finishes within 30 days.
What about images I bought from the Beams Vault Store?
They stay visible on every plan, including Collector.

Marketplace Connections

Connecting marketplaces, what they decide, and what you are responsible for.

Will Beams Vault work with every marketplace?
No. Vault supports the marketplaces listed in the app, and each one can change its rules or technology at any time.
What happens when a marketplace changes its site or rules?
A feature may stop working until we update it. We do not guarantee compatibility with any marketplace.
Who is responsible for my marketplace account?
You are. You are responsible for following each marketplace's terms and for what you publish there.
Do the marketplaces endorse Beams Vault?
No. Beams Vault is not affiliated with or endorsed by any marketplace.
Will my listing be accepted?
That is up to the marketplace. Each marketplace decides whether to accept, show, or remove a listing.
What if a marketplace suspends my account?
Contact the marketplace. Beams Vault cannot reverse a marketplace's decision and is not responsible for it.

Publishing & Inventory Guardian

How Guardian reduces overselling, and its limits.

Does Inventory Guardian guarantee I will never sell an item twice?
No. Guardian reduces the chance of a double sale but cannot prevent every one.
Why could a double sale still happen?
Marketplace delays or failures, sync timing, outages, listings changed outside Vault, disconnected accounts, and two buyers purchasing at the same moment can all cause one. Keep watching your marketplace accounts.
Who fulfills, cancels, or refunds an order?
You do. You remain responsible for every order on every marketplace.

Browser Agent

The optional Chrome extension: what it does, what it stores, and your responsibilities.

Will the Browser Agent work on every site?
No. It works only on supported marketplace sites you enable, and we do not guarantee it will work at any particular time.
What happens when a marketplace changes its website?
The Browser Agent may stop working on that site until it is updated.
Who is responsible for what the Browser Agent does?
You are. It acts only when you direct it, in your browser, while you are signed in to the marketplace.
Does a marketplace endorse the Browser Agent?
No. Its use is not endorsed by any marketplace.
Can the Browser Agent get past CAPTCHAs or multi-factor prompts?
No. It never bypasses CAPTCHAs, multi-factor authentication, or other security checks; it stops and asks you to complete them.
Does the Browser Agent store my marketplace password?
No. It never asks for or stores marketplace passwords, cookies, or browsing history.

Sales & Reporting

Recording sales and downloading reports.

Can I download a sales report on the free plan?
Yes. Collector can download a simple sales report PDF when sales are recorded.
Are reports tax advice?
No. Reports are informational and do not replace professional advice or required records.

Point of Sale

In-person sales with Vault Pro.

Does Beams Vault process my card payments?
No. Beams Vault records sales; an integrated provider (currently Square) processes card payments under its own terms.
When is a POS sale marked paid?
Integrated card payments are marked paid when the provider confirms them. Cash and payments on your own card reader are marked paid when you confirm them.
Is Stripe used for my POS sales?
No. Stripe is used only for Beams Vault subscription billing.

Privacy & Security

What we collect, who processes it, and how to make a request.

How do I make a privacy request?
Use Privacy & Data Requests while signed in, or email [email protected]. See Privacy requests for what happens next.
Do you sell my information?
No. We do not sell personal information or use it for targeted advertising.
Do you track me across other websites?
No. Vault uses only necessary cookies and no advertising or analytics trackers.

Account Closure & Data Deletion

Deleting your account and what is kept.

How do I delete my account?
Use Close account in Settings, ask from Privacy & Data Requests, or email [email protected].
How long does deletion take?
Deletion normally finishes right away and always within 30 days.
What does Vault delete when I request full account deletion?
Everything that belongs to your account. That includes your profile and sign-in, inventory, sales, purchases, vendor and receipt details, notes, photos, reports, marketplace connections and tokens, Browser Agent data, Point of Sale records, Vault AI history, and any AI Top-Up balance. Deletion cannot be undone, so download anything you want to keep first.
Does full deletion include inventory and sales history?
Yes. Inventory, variants, sales, purchase lots, and the reports built from them are all deleted. Vault does not keep a de-identified copy of your business records.
What information can Vault legally retain after deletion?
Only a few narrow records. A Beams Vault Store seller keeps its own order record of anything you bought there, for accounting, tax, and dispute reasons; we keep a minimal record that a privacy request was received and answered, and a record that the deletion happened with no personal details. Stripe keeps its own billing records as payment processor, and backups roll off on their normal rotation.
What is kept after deletion?
Only the narrow records listed in Privacy, Section 10. None of them is your inventory, sales history, photos, or notes, and none is shown anywhere in the app.
What Vault information can remain after my account is deleted?
Only general product facts that are not about you. For example, that a barcode belongs to a particular product. They are not linked to you and never include your notes, descriptions, photos, prices, vendors, or history.
What happens to general product information Vault learned?
General product reference facts, such as which product a barcode belongs to, may be kept because they are not personal information. Your notes, photos, and listing text are not kept.
Is moving to Collector the same as deleting my account?
No. Moving to Collector keeps your account and data; only deletion removes them.

Privacy Requests

Asking for a copy of your data, a correction, or deletion.

How can I ask what personal information Vault has about me?
Open Privacy & Data Requests while signed in and choose a copy of my data, or email [email protected] from your account's email address. Anyone can ask, wherever they live.
What will I receive in a privacy data request?
A download in the app with a readable report, a data file, spreadsheets, and your photos. Very large photo sets are listed so the rest can be sent separately. Passwords and security tokens are never included, but the report says which kinds we hold. The download is available for 30 days.
How long does a privacy request take?
We respond within 45 days of receiving the request. We confirm receipt within 10 business days, and if we need more time we tell you why and finish within 90 days.
How does Vault verify a privacy request?
Being signed in to your account verifies it. Requests by email must come from the account's registered email address, and we confirm before acting. We only ever deliver your data inside your own signed-in account, never as an email attachment.

Inactive Accounts

The schedule for free Collector accounts nobody signs in to.

Can my account be deleted for inactivity?
Only a free Collector account can, from day 615 without a sign-in, after the notices below (or after day 366 if its email address is confirmed permanently undeliverable).
  • Day 180. Courtesy reminder email.
  • Day 240. Second reminder email.
  • Day 366. The account is flagged for deletion (nothing is deleted) and we email you to sign in.
  • Day 400. Reminder email.
  • Day 500. Final advance reminder email.
  • Day 600. Scheduled-deletion email with the deletion date.
  • Day 615. The account is permanently deleted in the next monthly deletion run, including its inventory, sales, and images, as described in account deletion.
Can a paid account be deleted for inactivity?
No. Paid accounts are never deleted for inactivity.
What does flagged mean?
Flagged means the account reached day 366 without a sign-in and is on the path to deletion. Nothing is deleted when an account is flagged.
How do I keep my account?
Sign in. Any sign-in resets the count to day 0 and clears the flag; no payment is needed.
What happens on day 615?
On day 615 the account becomes due for deletion and is deleted in the next monthly run, as long as the final notice was sent at least 15 days earlier. Deletion includes inventory, sales, and stored images, and forfeits unused AI Top-Up balances.
How often does Vault process inactive-account deletions?
Once a month. An account is deleted in the first monthly run on or after its deletion day, never before.
What if your emails cannot reach me?
A temporary problem changes nothing: the schedule does not speed up for a full mailbox, an unreachable server, or an unclear failure. Only an email address confirmed permanently nonexistent can shorten it, and never before day 366.
What happens if my registered email permanently stops existing?
A free Collector account can then be deleted after day 366 instead of day 615. That happens only if our email provider confirms the address permanently does not exist, the day 180, 240, and 366 notices were attempted, and nobody signed in. Paid accounts are never affected.
Does a full mailbox count as a permanent email failure?
No. A full mailbox, a temporarily unavailable server, a delay, or a spam complaint is not a permanent failure and never speeds up deletion.
Does one bounced email delete my account?
No. A bounce never deletes an account by itself. Even a confirmed permanent failure only matters for a free Collector account that is still inactive after day 366 with all three earlier notices attempted.
When can an inactive account with a permanently invalid email be deleted?
In the first monthly run after day 366, once the day 180, 240, and 366 notices were attempted and at least 7 days have passed since the day 366 notice. Never at day 180 or 240. Signing in, changing your email address, a later successful delivery, or a correction by us stops it.

Store vs Vault

The Beams Vault Store and the Beams Vault software are separate.

Is a Beams Vault Store purchase the same as my Vault subscription?
No. The Store sells merchandise; the subscription is for the Beams Vault software.
Does buying from the Store create a subscription?
No. A Store purchase never creates or changes a Beams Vault subscription.
Do the Store and the software use the same terms?
No. Store purchases follow the Store Purchase Agreement and Store Privacy Notice; the software follows the Terms of Service and Privacy Notice.

Marketplace Guides

Listing guidance for every destination Vault supports — Browser Agent publishing on your own authenticated session, official import/CSV flows, and what remains manual.

Grailed

Curated menswear and high-end streetwear marketplace listing tools.

👟 Grailed Browser Agent (coming soon, Seller and above): When released, publishing runs on your own authenticated Grailed session, one item at a time — no bulk upload exists and none is claimed.

A job is only reported published after Grailed's own listing state verifies; anything that needs your decision (your declared Grailed category, photos, price confirmation) stops the job and waits for you — nothing is guessed.

Log-ins, checkpoints, or captchas are never solved by Vault: the job stops truthfully and the tab stays open for you to finish.

There is no completion-time promise: the queue works while your extension is running, and batch selections publish one listing at a time.

Mercari

Reselling catalog management and bulk listing tools for Mercari.

📦 Mercari Browser Agent (coming soon, Seller and above): When released, publishing runs on your own authenticated Mercari session, one item at a time — a job is only reported published after Mercari's own listing state verifies.

📦 Mercari Import Workflow: Mercari's official web import tool pulls listings from eBay, Poshmark, and Depop. Beams Vault prepares eBay-ready or Poshmark-ready catalog files for that import (this is Mercari's own external-store import, not a bulk CSV upload by Vault).

Log-ins, checkpoints, or captchas are never solved by Vault: the job stops truthfully and the tab stays open for you to finish.

There is no completion-time promise: the queue works while your extension is running, and batch selections publish one listing at a time.

Facebook Marketplace

Local and national shipping listing tools for Facebook Marketplace.

🌐 Facebook Marketplace Browser Agent (coming soon, Seller and above): When released, publishing runs on your own authenticated Facebook session, one listing at a time, bound to the exact identity you chose (personal profile or Page) — a different acting identity stops the job before anything changes.

The composer has no separate title field: your title becomes the first line of the description. Category fills only from the value you declared in Vault, and the pickup location is never autofilled — a listing without one stops and waits for you.

Checkpoints and identity confirmations are never solved by Vault: the job stops truthfully and the tab stays open for you.

There is no completion-time promise: the queue works while your extension is running, and batch selections publish one listing at a time.

Vinted

Fashion resale platform catalog management and workspace guide.

👗 Vinted Browser Agent (coming soon, Seller and above): When released, publishing runs on your own authenticated Vinted session, one item at a time — no bulk upload exists and none is claimed.

A job is only reported published after Vinted's own listing state verifies; seller-owned choices stop the job and wait for you — nothing is guessed.

Log-ins, checkpoints, or captchas are never solved by Vault: the job stops truthfully and the tab stays open for you to finish.

The RealReal

Consignment luxury catalog workflow for The RealReal.

👜 The RealReal Consignment: Managed consignment only — you submit items for consignment (drop-off, ship-in, or a virtual appointment), and The RealReal's own team photographs, prices, and publishes each listing.

There is no seller-operable listing publication surface on The RealReal, so Vault cannot fill one: no Browser Agent publishing, no bulk upload, and no seller-side delist exists for this destination.

Ruby Lane

Vintage and antiques catalog workspace for Ruby Lane.

🏺 Ruby Lane Browser Agent (coming soon, Seller and above): When released, publishing runs on your own authenticated shop-owner session, one item at a time. Approved dealers only — Ruby Lane is a vetted dealer venue.

Your Item ID is your own inventory control number: Vault fills it from your declared SKU and never invents one; Category and Item Type fill only from values you declared in Vault.

A job is only reported published after the listing verifies on your own shop surface; log-ins or captchas stop the job for you to finish — never solved by Vault.

There is no completion-time promise: the queue works while your extension is running, and batch selections publish one listing at a time.

Craigslist

Local classified listings workflow for Craigslist.

📰 Craigslist Browser Agent (coming soon, Seller and above): When released, publishing runs on your own authenticated craigslist session, one posting at a time — Vault fills your own form with your own content.

Disclosure: craigslist's terms restrict automated posting services. You decide whether to use this transport; Vault never solves challenges (captcha, phone verification, one-time login links) — those stop the job for you to finish.

The postal location is your own privacy decision and is never autofilled: a posting without one stops and waits for you.

There is no completion-time promise: the queue works while your extension is running, and batch selections post one at a time.
