Welcome to Beams Vault. These Terms of Service (“Terms”) govern access to and use of the Beams Vault software, website, and related services (the “Service”). The Service is operated by Manners & Moonbeams LLC (“we,” “us,” or “our”). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
Beams Vault is designed around data minimization and third-party specialization. If a trusted provider can securely handle sensitive information without Beams Vault receiving or storing it, Beams Vault uses that provider rather than duplicating the data. Marketplace APIs are an exception to “never receive”: they may include buyer or customer fields in order payloads because those APIs include them. Beams Vault may receive those payloads transiently in order to operate an integration, then does not retain unnecessary buyer or customer personal information. Beams Vault retains the minimum information necessary for inventory, transaction economics, financial reporting, and marketplace references; marketplace-specific customer and order details remain with the marketplace. These Terms describe that architecture as it exists; they do not create extra collection, retention, or deletion practices merely to look complete.
You must be at least 18 years old and able to enter a binding contract to use the Service. The Service is a business tool for adult sellers and collectors. We do not knowingly offer accounts to children. The Service is currently offered in the United States; interactive signup and access are limited to that service territory as implemented in the application. You agree to provide accurate account information and to keep it current.
We may offer sign-in through Auth0 or a local email-and-password account. Auth0 is the authentication provider; Beams Vault is not a copy of Auth0’s customer directory. If you sign in with Auth0, you cannot use the application until the Service records your acceptance of the current Terms of Service and Privacy Notice. You are responsible for safeguarding your credentials, for activity performed through your account, and for promptly reporting suspected unauthorized access through the in-app feedback page or by emailing mike@mannersandmoonbeams.com. Accounts may not be shared in a way that defeats subscription, security, or access controls.
Beams Vault is an inventory, listing-preparation, reporting, and sales-planning workspace. Features may include inventory records, images, purchase lots, sales history, marketplace exports or API publishing where enabled, financial reports, and optional AI-assisted import mapping. Features depend on your plan, add-ons, and configuration. Beta or experimental features may change, fail, or be withdrawn.
Prices, melt values, fees, profit estimates, contribution-margin figures, and similar calculations are informational tools only. They are not financial, tax, legal, grading, or appraisal advice. You are responsible for verifying material decisions independently and for maintaining your own business, tax, and legal records.
The Service may allow you to connect, export to, or publish inventory toward third-party marketplaces such as eBay, Shopify, Etsy, Whatnot, Poshmark, Depop, Vestiaire Collective, OfferUp, Kashew, Palmstreet, and similar platforms, using OAuth, API credentials, CSV/XLSX export, or other methods we support from time to time. Beams Vault is not affiliated with those marketplaces and is not a party to sales between you and your buyers.
By connecting a marketplace, you authorize us to authenticate to that marketplace using credentials Beams Vault stores for the integration, and to read, refresh, modify, and transmit listing and inventory data that Beams Vault maintains. Marketplace order, receipt, and similar APIs may include buyer or customer personal information. Beams Vault may receive those payloads transiently while processing an event because the marketplace APIs include those fields. It extracts the non-PII transaction fields needed to update your inventory and sales ledger—such as SKU, quantity, proceeds, fees, dates, order and line identifiers, refund or cancellation state, and marketplace references—and does not retain unnecessary buyer or customer personal information, including marketplace buyer or customer names, emails, shipping addresses, or customer identifiers. Beams Vault retains the minimum information necessary for inventory, transaction economics, financial reporting, and marketplace references; marketplace-specific customer and order details remain with the marketplace. Stored marketplace credentials and OAuth tokens are encrypted at rest using a dedicated application encryption key that is not stored in the database. You may optionally enter a buyer label on a sale for your own bookkeeping.
You are solely responsible for complying with each connected marketplace’s terms, policies, and developer rules. You agree not to use the Service to list, sell, or distribute illegal, counterfeit, stolen, infringing, or otherwise prohibited items. We are not responsible if a marketplace restricts, bans, or suspends your seller account, changes its APIs, or experiences an outage that disrupts the Service.
You may disconnect a connected eBay, Shopify, or Etsy account from the relevant marketplace workspace. Disconnecting means Beams Vault stops using that connection: stored credentials for that connection are removed, and the connection is disabled. Beams Vault inventory is not deleted because a marketplace is disconnected. Where a provider documents an application-initiated revocation or uninstall mechanism, Beams Vault calls that mechanism before clearing local credentials: Shopify Admin GraphQL appUninstall, and eBay Identity OAuth token revocation on the same host family as token exchange. Etsy does not currently document an application-initiated token-revoke endpoint, so disconnect clears local Etsy credentials only; you should also revoke Beams Vault in Etsy’s own connected-apps settings. If remote revoke fails, local credentials are still cleared. Beams Vault does not delete listings, orders, customers, or account data held inside the marketplace, and disconnecting does not delete your account at that marketplace.
Provider-initiated deletion, redaction, uninstall, or authorization-revocation notices (for example eBay marketplace account deletion notifications and Shopify app-uninstall or shop/redact notices) cause Beams Vault to stop using that connection and to remove stored credentials and leftover buyer labels Beams Vault maintains for matching records. Those events do not delete your Beams Vault inventory catalog, do not close your Beams Vault account, and do not mean Beams Vault deleted your account at the marketplace.
Other third-party operators used to provide the Service may include Auth0 (when configured), Stripe, cloud hosting and database providers, transactional email if configured, an image-storage provider (currently a configured Synology/WebDAV or similar image repository), and Google Gemini when AI-assisted import mapping is enabled. Those providers operate under their own terms and privacy practices.
You agree not to misuse the Service, interfere with its operation, attempt unauthorized access, upload unlawful content, probe or disrupt security controls, or use the Service to violate marketplace rules or applicable law. You are solely responsible for the accuracy of listings, pricing, shipping dimensions, images, inventory quantities, and fulfillment of your orders. Beams Vault does not take possession of goods and does not complete the transaction between you and your buyers.
You retain ownership of images, text, inventory data, and other content you submit (“User Content”). You grant us a non-exclusive, worldwide, royalty-free license to host, store, process, and transmit User Content solely to operate the Service, including transmitting it to marketplaces you connect and to service providers who help us operate the Service. You represent that you have the rights needed to grant this license and to publish the User Content.
The Service, including software, branding, and original documentation, remains our property or that of our licensors. These Terms grant a limited, revocable, non-transferable right to use the Service while your account is authorized. You may not copy, reverse engineer, or resell the Service except as allowed by law.
If AI tools are enabled for your account, the Service currently uses Google Gemini to help map ambiguous spreadsheet column headers during inventory import. That process may send column names and short sample cell values to Google. The Service does not currently generate marketplace listing titles or descriptions through the AI mapping feature. AI output may contain errors. You are solely responsible for reviewing and verifying any AI-assisted result before you rely on it or publish related listings.
A free Collector plan is available. Paid plans currently published on the pricing page are Seller at $14.95 per month and Vault Pro at $69.95 per month. Optional add-on packs may be offered. The amount, interval, taxes, trial (if any), and other terms shown at Stripe Checkout or on a Stripe invoice control the charge. Prices may change; we will charge the then-current amount for the next renewal unless you cancel first.
Paid subscriptions are processed by Stripe. Payment-card information never reaches Beams Vault. We do not collect or store raw payment-card numbers, expiration dates, or CVV codes. We store Stripe customer and subscription identifiers and related billing status so we can match your plan to your account.
Automatic renewal. If you subscribe, YOUR SUBSCRIPTION WILL AUTOMATICALLY RENEW at the end of each billing period, and you authorize Stripe to charge your payment method on a recurring basis, until you cancel. Seller and Vault Pro may include a 14-day trial if our records show you have not already used a trial. After a trial, recurring charges begin unless you cancel first.
Cancellation. You may cancel a paid subscription so that it does not renew for the next period. Cancellation is intended to take effect at the end of the current billing period; access to paid features generally continues until that date unless Stripe or these Terms provide otherwise. If you have a Stripe customer record, Settings includes a Manage billing link that opens Stripe’s Customer Portal. Cancellation does not require a phone call. If the portal link is unavailable, email mike@mannersandmoonbeams.com and we will help you cancel.
Refunds. Unless required by applicable law, we do not automatically issue prorated refunds for unused time in a billing period after cancellation. Other refund requests may be considered at our discretion by contacting us. A public money-back guarantee is not currently offered.
We may suspend or terminate access for security threats, unlawful conduct, nonpayment, or material violation of these Terms. You may stop using the Service at any time. Settings currently include a high-confirmation inventory wipe that permanently deletes your inventory catalog; that wipe does not delete your user account, billing records, or marketplace connections by itself.
Settings also includes a high-confirmation Close account control. Account closure follows the same minimal-data architecture. Beams Vault deletes or disables information and credentials it actually maintains: profile and account fields, session tokens, the Auth0 user identifier stored on the Beams Vault record, encrypted marketplace credentials, and optional buyer labels on sales ledgers. Beams Vault cancels an active Stripe subscription when a Stripe subscription identifier exists. Sales ledgers used for accounting (amounts, dates, SKUs, item snapshots) and inventory rows needed to support those ledgers are retained as Beams Vault business records. Closure does not delete listings, orders, payments, customers, or identities held by eBay, Shopify, Etsy, Stripe, Auth0, or other third parties, and it does not delete your accounts at those providers. You may also request closure by emailing mike@mannersandmoonbeams.com or through the feedback page. Operational database backups may persist deleted data until those backups rotate. We do not retain extra categories of personal information merely to populate a retention schedule.
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF SECURITY VULNERABILITIES. NO STATEMENT IN THE SERVICE, INCLUDING security-related descriptions, is a guarantee that data cannot be lost, accessed without authorization, or disclosed.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. Some jurisdictions do not allow certain limitations; in those cases the limitation applies to the fullest extent permitted.
You agree to indemnify and hold harmless Manners & Moonbeams LLC and its officers, directors, employees, and agents from claims, damages, liabilities, and expenses (including reasonable attorneys’ fees) arising out of your use of the Service, your User Content, your listings or sales, or your violation of these Terms or any third-party marketplace terms, except to the extent caused by our willful misconduct.
These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law rules. Subject to any non-waivable rights you may have under applicable law, exclusive venue for court actions arising out of these Terms is the state or federal courts located in Florida. A more specific county venue may be designated in a later revision after owner and counsel confirmation. These Terms do not currently require binding arbitration or include a class-action waiver.
We may modify these Terms. Material changes will receive a new version date. We may notify you by email, through the Service, or by posting the updated Terms. Where the Service records Terms acceptance, we may require renewed acceptance. Continued use after the effective date of updated Terms constitutes acceptance, except where applicable law requires additional consent.
